Travel Dates

The Checkout  page allow you to recap all the information with your customer and also make some changes if necessary.  The travel dates will be listed on the top of the Checkout page.

Traveler Information

You will key in the guests complete name as it appears on their legal document such as Drivers License or Passport.  Please note that the Email Address entered is the email address that VAX will use for emailing the econfirmation.  It's recommended that you send the econfirmation to yourself for review and then forward to your guest or print.

It's important to utilize the Itinerary Tools to notify the hotel of valuable information.  Special Service Requests (SSR) messages get generated to hotels and the details assist each hotel provide the best service possible for each guest.  This field is only available at time of initial booking.  Once a confirmation number is obtained, this field will become unavailable and any additional SSR messages must be called into Universal Parks & Resorts Vacations.
 
When booking multiple onsite rooms in VAX under one confirmation number, the room information is transmitted to Loews as individual reservations to their system called Opera. The technology does not link or cross-reference the bookings in any fashion and the reservations are viewed as separate travelers by the hotel check-in desk.
 
It's important to enter Special Service Requests (SSR) messages to the hotel during the initial booking within the Checkout Page or after the booking by calling UPRV Reservations desk details regarding room requests such as rooms on the same floor, adjoining, connecting etc.
 
Always use the Lead Full Name (not the confirmation #'s) and arrival dates to advise of parties traveling together.
 
 
The internal comments section does not generate a message to any vendor nor does it get printed on any edocument. This information is for your use only.

Payment Information

All payment details are listed here.  Any special promo codes can be entered here and its important to select apply after entering.
  Vax will allow the client to use up to four different credit cards for payment.  Within the Number of Payments drop down ox, simply select the number of credit cards being used and a input box will appear for each credit card.

Bookings 46+ Days

For all reservations that are 46+ days out, VAX will permit the Travel Advisor to setup auto charge of final payment.  The default is to add the final payment manually at a later date. If the credit card fails to charge, the system will send an email to the address listed.  We always recommend the agent type in their email address.  If there is no response, UPRV will follow up with a phone call to the agency. 
 
Once a scheduled automatic final payment is selected, the credit card cannot be changed, but an alternate card can be applied prior to the scheduled payment date and the scheduled final payment will not occur since the reservation will show a zero balance.

Confirmation of Recap

Once all details are recapped with the client, Travel Advisor is required to acknowledge that client is aware of all necessary details.

To complete the booking and secure a confirmation, the Travel Advisor must select the Complete Booking button.
